A plain-language explanation of what ChinCaption keeps when you caption a meeting or a service, how long it stays, and what you can switch off or delete.

ChinCaption keeps what a captioning session produces — the transcript, your notes, and any summary — so you can find it later. It does not keep the audio. You decide, per session, whether the transcript and translation are saved at all, and you can delete a session at any time. There is no advertising and no analytics or tracking software.
Who operates ChinCaption
ChinCaption is built and operated by Chinland InfoTech, which is the contact responsible for this policy. It covers the ChinCaption app and the service it connects to. It does not cover unrelated third-party sites or meeting platforms you may use alongside it.
Your account, or using it as a guest
- If you make an account, we store your name, your email address, and your password — the password only as a salted hash, never as text anyone can read. Sign-in sessions expire after 30 days, and repeated failed sign-in attempts are rate-limited.
- If you use it as a guest, the app generates a random installation identifier and sends it so we can apply the free weekly allowance. It is made up by the app: it is not a hardware identifier, not a device fingerprint, and not an advertising identifier.
- Nothing else about you. The app does not collect your contacts, photos, calendar, or location, and it contains no advertising, analytics, or tracking software.
What a captioning session contains
A session is the thing ChinCaption creates when you caption a meeting, a service, or a video. It holds the title you gave it, the session type and language, start and end times, the caption transcript and any translation, the notes and markers you add, and any summary or action items produced from them.
If you caption a video, the video file and the captioned copy you export are processed and held on our server so the app can play them back and render the export.
Audio is not kept. Speech is transcribed as it arrives and the audio is discarded; a request to retain audio is refused by the service. The one exception is speaker identification: if you switch it on, the recording is held only while speakers are being worked out, and is deleted as soon as that finishes or fails.
Sharing and workspaces
A session is private to you unless you share it. When you turn sharing on, people who have the code or QR can follow the captions live, and — only if you allow it — read the transcript after the session ends. Sharing is off until you switch it on, and you can switch it off again.
If you work in a shared workspace, the people invited to it can see its sessions according to the role they were given — owner, editor, or viewer. An owner can change a role or remove a member at any time.
Captions carry whatever is said in the room. Please tell people they are being captioned, and take the same care with a shared transcript that you would with any other record of a meeting.
What we keep, and for how long
- You choose, per session. Each session has a “save transcript” and a “save translation” setting. Turn either off and that content is not kept once the session ends.
- Sessions you keep stay until you delete them. There is no automatic expiry: a saved session, its transcript, notes, and summary remain available in your history until you remove it. Deleting a session deletes that content.
- Usage records outlive transcripts. We keep a content-free ledger of minutes used, so allowances and reservations work. Deleting a session does not delete its usage record, and the ledger contains none of what was said.
- Account records remain while your account exists. Sign-in tokens expire after 30 days and are stored hashed.
Who processes your data
Session content is stored on infrastructure Chinland InfoTech operates. Speech recognition and translation are handled by Chin Voice Lab, our own service, using our own Falam models. Where an installation has AI summaries enabled, the transcript is sent to the summarisation service configured for it in order to produce the summary and action items.
We do not sell or rent your transcripts, notes, or account details, and we do not share them with advertisers or data brokers. We disclose information only where the law requires it, or where it is necessary to protect the security of the service.
Your choices and deletion
You can turn off transcript or translation saving before a session, stop sharing, delete a session and everything in it, remove a member from a workspace, and remove a video you imported.

We may need to verify a request before acting on it, and we may retain limited records where required for security or legal obligations.
Security
Requests travel over encrypted HTTPS. Passwords are stored as salted scrypt hashes, sign-in tokens are stored hashed rather than in the clear, and sign-in attempts are rate-limited. Access to stored sessions is restricted to the people who operate the service. No system is perfectly secure, so please take care with what is said in a captioned session.
Children
ChinCaption is not directed to children under 13. If you believe a child has provided personal information that we hold, contact us and we will review and delete it where required.

We will update this policy when the app, our providers, or our practices change, and revise the effective date above.
